The Challenge

Integral Body Psychotherapy (IPD Center) delivers advanced psychotherapy education through a comprehensive Learning Management System, offering courses and training programmes to students and practitioners worldwide. As an international educational institute and premier ITP psychotherapy school, their mission centres on enhancing well-being and societal vitality through collaborative learning and knowledge advancement on a global scale.

However, their existing WordPress-based platform had become a significant barrier to that mission. The legacy system struggled with scalability, offered limited functionality for collaborative learning, and created friction in the user experience. With 6,000 active users relying on the platform daily for their professional development, the institute faced a critical challenge: how to modernise their entire digital infrastructure without disrupting the learning journey of thousands of students across multiple time zones.

We were tasked with redesigning and developing an entirely new digital platform built on modern technology — React for the frontend and Node.js for the backend — whilst migrating 6,000 users from the legacy WordPress system with zero data loss and zero downtime.

Technical Challenges We Solved

Challenge: Seamless Migration of 6,000 Users Without Data Loss or Downtime

Migrating 6,000 active users from a WordPress platform to an entirely new technology stack presented enormous risk. User profiles, course enrolment data, learning progress, certificates, and years of educational content all needed to transfer perfectly. Any data loss would be catastrophic for users mid-course, and extended downtime would disrupt live classes and learning schedules across multiple time zones. The complexity was compounded by the need to maintain data relationships and preserve the integrity of the educational records that many users relied upon for professional certification.

Our Solution: We designed and executed a phased migration strategy that prioritised zero disruption. First, we created comprehensive data mapping to ensure every piece of information had a clear destination in the new system. We then built robust ETL (Extract, Transform, Load) processes with extensive validation at every stage. Rigorous testing with representative data sets allowed us to identify and resolve edge cases before touching production data. We implemented a dual-running period where both systems operated in parallel, allowing us to verify data accuracy in real-time. Challenge: Balancing Complete Redesign with User Familiarity

Whilst a complete redesign was necessary to improve functionality and user experience, we faced a significant UX challenge: existing users had muscle memory and established workflows in the old platform. Too much change too quickly would create confusion, increase support burden, and potentially drive users away during the critical transition period. However, maintaining too much of the old design would waste the opportunity to address known pain points and usability issues. We needed to strike a careful balance between innovation and familiarity.

We mapped existing user journeys to understand where familiarity mattered most (navigation, course access, progress tracking) and where users were already experiencing frustration (search functionality, collaborative features, mobile experience). The new design maintained core navigation patterns and visual hierarchies that users relied upon, whilst introducing modern interface elements gradually. We implemented progressive disclosure techniques, allowing users to discover new features at their own pace rather than overwhelming them on day one. We also created comprehensive onboarding materials and contextual help to guide users through changes. This balanced approach reduced user confusion dramatically — support ticket volume during transition dropped by 40% compared to projections, indicating users adapted quickly and confidently to the new platform.

Challenge: Improving Functionality Whilst Maintaining Platform Stability

The old platform had numerous pain points that limited collaborative learning and frustrated users. However, introducing new features during a major migration created risk — too many changes could destabilise the system or create unexpected interactions. We needed to address stakeholder requirements for enhanced functionality without compromising the reliability that users depended upon for their professional education.

Our Solution: We took a stakeholder-driven approach to feature prioritisation.
